How to Process Payroll in QuickBooks?

How to Set-up and Process Payroll in QuickBooks?

Setting Up Payroll in QuickBooks

  • Go to QuickBooks Home Screen
  • On the sidebar menu, click on Employees
  • The Employees page opens
  • On the right side of the page, click Get started with payroll
  • The QuickBooks Payroll Module opens
  • Here, you need to answer few questions as asked and click on the radio buttons next to the question
  • The first question “Have you paid any W-2 employees this year?
  • Click on the Radio Button
  • Click on Continue
  • The second question “Do you have W-4 forms filled out by your employees?
  • Click on the radio button “Yes” (provided you have the filled forms. If you don’t have W-4 forms, you will be directed to a link to the form. Take a print out of that form and give it to your employees. Once filled, only then you can click YES)
  • Click Continue
  • The next step allows you to add your employees
  • On the sidebar menu, select Add employee 
  • Enter the name of the employee in the appropriate boxes
  • Click Enter W-4 form. This is needed to enter tax withholding information of the employee
  • On the W-4 form screen, fill in your employee’s address, SSN, and marital status and fill out the other details as asked.
  • Click Done
  • The question “How often do you pay your employee?” appears on the screen
  • Click Enter a pay schedule 
  • Choose the appropriate option from the drop-down menu like every week, hourly, daily etc.
  • Click Done
  • Next, click on the appropriate button for the question, “How much you pay your employee?
  • Click Done 
  • Next, click on the appropriate button for the question, “Does your employee have any deductions?”
  • Click on “NO” if there are no deductions. Or else, click on the Pencil icon to add employee deductions
  • Click Done
  • Next, answer “How do you want to pay your employee?
  • Click on the Pencil icon to choose the payment method
  • Click OK
  • Click Done

The first employee payroll set up is complete and you can now add the rest of the employees in the same manner, one after the other.

Process Payroll in QuickBooks

When all the employees are added, you need to run or process payroll in QuickBooks.

  • Go to Run Payroll Module
  • Enter the details as asked for in the required fields
  • Click Preview payroll
  • Click Submit Payroll 
  • Click on Print pay stubs
  • Click Finish payroll

Now, the entire process of setting and processing payroll in QuickBooks is completed.
