Add a Late Fee to a Customer in QuickBooks

QuickBooks allows you to add the late fee to a particular customer or number of customers depending on the case. There is obviously no automatic way to add the late fee since it is always case specific. QuickBooks gives you the power to choose the customers. Points to keep in mind before you add late fees to a customer in QuickBooks

  • The late fee can be set on only one rate.
  • It can’t vary and used as a default set option.
  • Only permissible option is to set a minimum charge along with the rate.

Way to add a late fee to a customer in QuickBooks

There are two ways to add a late fee to a customer in QuickBooks

  • You can create a separate invoice to charge your customers for the late fees.
  • Alternatively, you can add the late fee as an item on the invoice you generate for the customer.

Here we will look at the step by step instructions for adding a late fee to a customer in QuickBooks:

  • Click on the ‘+’ icon. You can find it at the top of the window.
  • From the drop-down list please select ‘Invoice.’ Option.
  • Fill in the details of the invoice.
  • While filling out the invoice, after mentioning all the products and service; in the next blank line click on the option that says- ‘Product/ Service.’
  • Alternatively, you can click on the option that says- ‘Add New’ by going through the drop-down menu that comes after clicking the ‘Product/ Service’ option.
  • Enter the amount of the late fee.
  • Click on ‘Save.’
  • Click on ‘Close.’

If you wish to add an additional charge on an existing invoice

  • Click on ‘Sales’ option. Alternatively, you can click on the ‘Invoicing’ option. It can be found on the left-hand side of the menu.
  • You need to select the customer you wish to charge for the late fee. To do so click on ‘Customer’ tab.
  • You will be shown all the transactions that were made between you and that customer. Click on the particular invoice you wish to charge for the late fee.
  • At the end of the list of items on the invoice, click on the option that says- ‘Product/ Service’ in the next blank line of the list.
  • Alternatively, you can click on the option that says- ‘Add New’.
  • Enter the late fee.
  • Click on ‘Save.’
  • Click on ‘Close.’
